Productive Sharing Tips for Goggle Docs Folders


Collaboration is one of the best reasons for using Google Apps. Whether you're using Gmail or Chat, Calendars or Sites, sharing is a central theme throughout the suite of applications. It hasn't been that long since Sharing Folders was introduced, so it's not surprising to hear that some of you haven't taken a moment to leverage Folder sharing to it's fullest.

Here are a few things you may not know about Folder sharing which is similar to sharing a document...but with a bit of a twist.

Note: Your Google Apps Administrator may have set global permissions for documents and folders that may remove the function described below.

Know This About Sharing Folders

1. Documents within a shared folder are automatically shared.
Note: If you want to "unshare" a Document that is in a shared Folder or Sub-Folder, reset the share access for a specific document.

2. Folders can be shared with an individual person inside/outside your organization.
Note: Persons outside your organization must have a Google account to access the folder.

3. Sub-Folders automatically adopt the 'shared' status of the Parent folder.
Note: If you want to unshare a sub-folder within a shared parent folder, select the sub-folder and set the share access.

HOT TIP: Did you know you can share a Folder publicly? Example: See the public version to the Folders and Documents above. At first glance this may seem a bit obvious and you might even wonder why you would want to share a Folder instead of a Document... how about sharing marketing materials like a Press Kit info or White Papers. Sharing an entire folder can save you from individually selecting files to share and then providing a link.

Sharing with individuals

1. Inviting individuals is as easy as adding an email address or choosing from your contact list.

2. Since mail sent from within Docs isn't labeled in your Gmail Sent items, we recommend always sending a copy to yourself.

Important: By default, individual sharing requires that a user have a Google account. If you're sending a document outside your organization, then you may not want to require sign-in to see this document (see the next step for details to change the default setting). If you require sign-in for people outside your organization, they must sign-in using their Google Apps or Google account.

Who has access

1. By default, when you create a Folder or Document no one else has access to it. Using the People with access settings you can fine tune the level of permission for a user or your organization.

2. By default, each Folder/Document requires sign-in. Click Change to see a list of settings available.
Important: this setting will be adopted by sub-folders

3. This tab also gives you options to email the people collaborating on this document with you and even schedule a Calendar event.

4. Creating a Calendar event will open your calendar and pre-populate the details field with a link to your document.

Advanced sharing permissions

This section is a must read for any Folder you're sharing. Since the permissions set at the parent folder trickle down to the sub-folders and documents, you'll want to make sure to set the permissions based on your needs.

Important: this setting is not adopted by sub-folders
